What does the bot do on its own, and when does it ask first?

It makes changes in your app right away and tells you. It asks first before anything reaches a customer, and before deleting.

Updated October 22, 2026

Your bot does things right away and tells you in one line what it did: adding a customer, moving a deal, booking a job, updating an invoice, adding a task. It asks you first before anything reaches a customer (it shows you the exact words), and before it deletes something.

Also called: approvals, permissions, confirm, autonomy, what can the bot do, approbation, permissions du bot, confirmer

What it does without asking

  • Changes in your app: customers, companies, notes, deals, pipelines, jobs, quotes, invoices, tasks and custom fields. A card under its reply shows each change, with a link to the record.

  • Messages to your team: texts, calls and reminders to people on your team.

  • Automations you asked for: it sets them up and turns them on.

  • Company memory: when someone on the team tells it something lasting (a price, a policy, who does what), it saves it and shows "Remembered: …". You can edit or remove any fact in Memory.

When it asks first

  • Before a customer gets anything. A text, an email, or an automation that texts or emails customers or calls a webhook: it shows you the exact words and waits for your yes.

  • Before deleting. It asks once.

  • Your automations stay as you set them. It never turns one on or off, changes or deletes one unless you ask for that one.

Step 1: Ask for a change

Open Bots and your bot, and say what you want: "Move the Gagnon deal to Won."

Click: Bots › your bot

Step 2: Say yes to a customer message

When you ask "Text Mrs. Roy that we're on our way", the bot shows the message first. Reply "yes" to send it, or say what to change. The card then says Sent.

What each person can do

  • The owner and the office can do everything above, including messages to customers, Slack, Discord and webhooks.

  • Teammates change records only as their role in your app allows, and make automations only for themselves.

  • Someone in Slack or Discord the bot doesn't know yet can only ask and look things up, until they link with a code.

  • The bot reads company memory at each person's level: Whole team, Office and owner or Owner only.

Good to know

  • It acts on your newest message only. It never carries out an old request on its own.

  • It never asks for or repeats passwords, card numbers or other secrets.

  • Something it did isn't right? Tell it, or undo it where it lives in your app.

If it doesn't work

  • It says it can't do that for you. Your role in the app doesn't allow it. Ask the owner.

  • It says your app needs an update. Publish your app once, then ask again.

  • "Out of credits." Add credits, then ask again.
